The Member dashboard & Profile tabs: Glossary of terms

A quick reference for everything you'll find on a Member's profile in Lookout.

Member Dashboard

The home page for an individual Member. It brings together all their key information in one place - contacts, membership details, funding, agreements, communities, and more - giving you a complete picture at a glance. It's the first tab you land on when you open a Member's profile.

Header (Member Summary)

The band across the top of the profile showing the Member's name, photo, age, address, funding scheme, plan summary, and how long they've been with you. It also shows status flags (such as "archived" or care plan risk levels) and gives you quick access to the Member's contact card. The tabs across the profile run along the bottom of this header.

Key Contacts

A snapshot of the most important people for this Member - their primary contact and emergency contact - so you always know who to reach first.

Members

The person (or people) receiving care under this membership. A membership can include more than one person.

Authorised Representatives

People authorised to make decisions or act on the Member's behalf. One can be marked as the primary contact.

Funder

Who pays for the Member's care and the funding scheme they fall under (for example, a government-funded package). This section also shows package details and payment information.

Billing Recipients

The people or parties who should receive invoices and billing for the Member.

Emergency Contacts

People to reach in an emergency.

Sharers

People the Member has chosen to share access with - for example, family or loved ones who can see certain information.

Agreement

The Member's service or membership agreement - what they've signed, who agreed to it, and when. You can create and view signed agreements here.

Incompatibilities

A record of any Helpers who should not be matched with this Member, along with the reason, to keep scheduling safe and appropriate.

Community

The community (or communities) the Member belongs to, and the staff assigned to their care within it. Communities determine who has access to the Member.

Cohorts

Groupings the Member has been placed into - useful for organising and reporting on Members who share something in common.

Insights

Automatic prompts and alerts about the Member that may need attention are shown as banners near the top of the dashboard.

Leave Banner

A notice that appears when the Member is currently on leave.

 


Member Profile tabs

Dashboard

The overview described above - the Member's key details all in one place.

Budgets

The Member's funding budget - what's been allocated, planned, and spent. Helps you manage their available funds.

Notebook

A record of notes about the Member. Notes can be internal (staff only) or shared with the Member and their loved ones. This is also where tickets can be shared as notes.

Files

Documents and files stored against the Member. For example, uploaded paperwork or supporting documents.

Roster

The Member's schedule of visits and care, showing what's planned week by week.

Care Plan

(shown as "Care plan" or "Help plan") The Member's plan of care, outlining their needs, goals, and the support they receive.

Tickets

All tickets relating to this Member - the tasks, follow-ups, and workflows being tracked for them. You can create a new ticket for the Member directly from here.

Activity

A running history of everything that's happened on the Member's profile, providing a clear audit trail.

Lookout

Health and wellbeing information captured through the Lookout app for this Member.

Forms

Custom forms and their responses associated with the Member (for example, assessments).

Referrals

Referrals relating to the Member - incoming or outgoing.

Orders

Where purchase orders are raised for the Member, typically for goods or services from third-party providers.

Finances

(may appear as "Home Care Package" or "Transactions & Statements") The Member's financial records — balances, transactions, and statements tied to their funding.

Leave

Any periods where the Member is away, or their care is paused, along with the reasons and dates.

Settings

Configuration options for the Member's profile.
