Helpers: Glossary of terms

A quick reference for the words you'll come across when working with a Helper's profile in Lookout.

Helper Dashboard

The home page for an individual Helper, bringing together their details, communities, services, pricing, contracts, schedule, and more in one place.

Avatar

The Helper's photo, shown at the top of their dashboard. If none is uploaded, their initials are shown instead.

Role Badge

A label confirming the person's role. A Helper can hold more than one role - Helper, supplier, or clinician.

Status Tags / Banners

Visual flags on a Helper's profile or in the list - for example, a notification that their verifications are missing.

Contact Card

A quick view of the Helper's contact details, opened from the top of their dashboard.


Profile Tiles

About / Bio

A section where the Helper introduces themselves, completed by the Helper from the Care App. Staff can view and edit it.

Products and Prices

A table showing the products associated with the Helper and their pricing - including quantity type and any independent contractor pricing.

Contract

The active service agreement linking a Helper to a specific Member. Contracts are created automatically when a Helper is assigned a service with a Member.

Service

A type of support a Helper is set up to provide. A Helper's services determine what work they can be scheduled for.

Matching Preference

A "soft match" between Helpers and Members - such as shared interests, environment, or experience - used to help pair suitable people together. Soft matches guide matching but don't block it.

Community

A grouping the Helper belongs to (for example, by region). Communities determine where a Helper can be scheduled and who has access to them.

Brokerage Agreement

A contractor's contract agreement, viewable on their profile where applicable.

Third-Party Provider Rates

The rates set for a supplier or clinician, shown on their dashboard where applicable.

Incompatibility

A record marking a Helper as unsuitable to work with a specific Member, along with the reason. Unlike matching preferences, incompatibilities are a hard stop - they prevent the Helper being rostered with that Member. They're added from the Member's dashboard.


Visits & Scheduling

Roster

The Helper's work schedule, viewable as a calendar or list, showing their visits and each visit's status.

Visit Log

The history of a Helper's visits, showing the Member, date, scheduled check-in time, and check-in location (if enabled).

Recurring Visit

A repeating visit between a Helper and a Member, set up as part of a regular schedule.

Exceptional Visit

A one-off visit that sits outside a Helper's regular schedule.

Recommendation

A note left by staff recommending a particular Helper.

Primary Membership

A Member for whom this Helper is the primary Helper, configured from the Member's dashboard.


Availability & Engagement

Engagement Type

How the Helper works with your organisation - for example, employee, contractor, or volunteer.

Availability

The days a Helper works, their weekly capacity, whether they're interested in opportunities, and any related notes.

Weekly Capacity

The number of hours per week a Helper is available to work.

Opportunities

Available visits a Helper can be invited to or express interest in, based on their availability.


Compliance & Records

Verifications

A Helper's qualifications, certifications, and compliance documents. A missing verification may be flagged on their profile.

Notebook

A record of categorised notes about the Helper. Staff can search, filter, and add notes.

Files

Documents stored against the Helper, gathered from various areas of the system or uploaded directly.

Note (Admin Note)

A free-text note about the Helper, for internal staff reference.

Orders

Purchase orders relating to a Helper, shown for third-party providers.


Managing a Helper

Custom Attributes

Extra fields your organisation has set up to capture additional details about a Helper.

Danger Zone

The area of the dashboard where a Helper can be archived or deactivated when they're no longer required.
