Veterans' Home Care (VHC) helps with practical support to help individuals stay independent and in their own homes. This article will help you understand how to generate a bulk claim file that captures all the required reporting information.


Before each claim

Before generating a VHC claim export, it is important to ensure that the following:

You can access a VHC Service Plans report that helps identify referral plans that will expire in the specified period. This report is useful in ensuring that all clients in the latest claim possess a valid service plan.

Generating a VHC claim report

The VHC Claims Export report will contain all checked-out visits within the reporting period and automatically assign service plan details.

To access VHC reports, you will need Finance permissions.

Select the 'Reports' option from the Finance menu.

To generate and send the file to your email, please select the 'VHC claim export' under Financial Reports.

Choose your report period by selecting the Start and End dates and then select Generate.

Please review the VHC claim report and ensure that all visits have a corresponding VHC Service Plan. If any clients are missing a plan, please add it before generating a new VHC claim report.

Uploading the report

Your Lookout-generated VHC Claim report is now complete and can be uploaded directly to the VHC Provider Portal.

Sign in to the VHC Provider Portal, select the Claim Items page, click 'Upload Bulk claim file', and upload the report generated by Lookout.

What next?

Invoicing clients with co-payments

The VHC Co-payment Report is available to show all completed visits for VHC members with a co-payment within a date range.

To access the VHC Co-payment Report, go to the Finance menu and choose the 'Reports' option. Then, click on the 'VHC Co-payment Report.'

FAQs

Some of my visits were missing from my report.

Your VHC Claim Report will include all visits available for VHC-funding scheme memberships during your selected timeframe. If you feel the report is missing visits, please check the following:

  • Ensure that your VHC clients' memberships are set up using the VHC funding scheme and that all details for the scheme are filled in.

  • The VHC Claim Report report works off of invoices; as such, you must have completed a billing run to generate the invoices for visits in the period selected for these to be included in the report.
