A Client enquiry form is a lead management tool to capture new and enquiring clients and create an associated record within Lookout. When a form is submitted, a supporting ticket workflow will be created to support the lead management within your organisation.

Who can access a Client enquiry form?

The Client enquiry form can be accessed through your website, as an embedded form, or directly through a link provided to a user.

What happens when an enquiry form is submitted?

When a Client enquiry form is submitted, the following actions will be triggered;

  1. New membership will be created in Lookout based on the user information submitted in the form. The membership will be assigned to the 'Leads' community to ensure it's separate from your other communities.

  2. A new ticket will be created in Lookout. The ticket will be based on the Intake Enquiry template which your organisation can further configure.

The ticket template should include the steps required by your organisation to contact and validate the enquiry. The template can be customised by navigating to Ticket Templates under settings.

If the enquiry is going to be converted into active membership, the ticket assignee will need to complete the remaining fields on the membership. This will change the membership status automatically from 'Lead' to 'Active'.

Do new client enquiries count towards my Lookout subscription?

Memberships created from the Client enquiry form will have the status of 'Lead'. Any memberships in Lookout with the 'Lead' status will not count towards your subscription until their membership is fully configured.
