Users

Note: A single user in Lookout can have multiple roles.

Authorised Representative (AR)

The nominated person who can manage service on the Members' behalf. There can only be one Authorised Representative. Often a key family member or primary carer.

Not every Member has to have an Authorised Representative. An Authorised Representative can be nominated even if the Member is managing their service themselves.

An Authorised Representative gets full access to a Members account. If a Member wants to share some details such as their schedule with other family members or friends that are not going to have control over the account, then they should be added as Sharers.

Billing Recipients

The only person or people that should receive weekly statement emails. Members and Auth Reps do not receive these emails automatically. They need to be listed as a billing recipient. Members and Auth Reps can view statements in the app. They will also be the point of contact if there is an issue with payment. There can be more than one Billing Recipients. Often the Member and Auth Representative.

Care Managers

Admin users who assess people's needs, create Help Plans and coordinate the service and care a Member receives. Care Managers oversee geographic regions with a number of Members and Helpers. They are the primary contact for Members and Authorised Representatives (once services have commenced).

Funders

Funders are the entities that pay for membership fees and services a Member receives. Funders can be private individuals or organisations that are managing the Members government package.

Helpers (Care Workers /Support Workers)

People providing care to Members. Helpers can be employees or subcontractors. The platform acts as a facilitator for Helpers and Members needing care. Helpers are verified for their suitability as carers. If the Helper is subcontracted, they pay to have access to the platform with a Platform Fee which is a percentage of each service they provide.

Members (Clients)

People receiving care services.

Primary Contact

Either the Authorised Representative or the Member nominated as the primary person to speak with about the care and support of a Member. There can only be one primary contact.

Sharers

People who a Member or Authorised Representative want to be able to see a Members schedule. Sharers have no access to any contact or financial information. They can not make changes to a Members service on their behalf. Only the Members or Authorised Representatives can make changes to services and schedules.

Staff members

Admin staff members who have access to the Lookout admin interface, such as rostering, care management and finance.

Other Terms

Help Plan

Also known as a support plan or care plan. The document records what Members and Authorised Representatives discussed and agreed during their assessments and reviews. This includes:

  • Strengths

  • Difficulties

  • Goals

  • What they would like to achieve

  • What preferences they have for our services

Contracts

The Lookout app facilitates the relationships between Helpers and Members. The service contract is directly between Helper and Members. Each Helper that provides services must have a contract in place before they can be scheduled. The contract includes the terms of the services as well as the products and prices provided

Products

Products for the prices list for Helpers. They define what the Helper provides and how much it costs per unit (e.g. per hour, per day).

Verifications

Helpers can have many verifications. The verification and their requirements can be set at a company level.

Requisites

Requisites are the Member's mirror to verifications. A Helper must meet the requisites of a Member with their verifications or the system will present a warning when attempting to create a contract or schedule the Helper.

Billing Runs

Billing runs are weekly. It generates the visits and fee invoices for Members and Helpers.
