CHSP Services Update in Lookout (July 2025)

Overview

As part of the CHSP reforms, Lookout has released updates to its CHSP services list, service reporting measures, and data fields to align with new government requirements effective from 1 July 2025. This article outlines the key changes, how they impact your organisation, and the steps to ensure a smooth transition.

 

1. New CHSP Services and Reporting Measures

  • A new list of CHSP services, including updated DEX Reporting IDs, is now available in Lookout.

  • All existing Lookout customers have had their current services included in the update.

  • For new customers, notify your Lookout account manager if you provide any CHSP services not currently configured in Lookout. You will need to provide the DEX portal identification for the service.

  • Service reporting measures in Lookout have been updated to align with DEX requirements. These may include:

    • Client contribution

    • Time (e.g. hours)

    • Quantity (e.g. episodes of care)

    • Total cost

 

2. New Mandatory Fields for CHSP Clients

To prepare for the January 2026 DEX changes, the following client fields are now mandatory in Lookout:

  • My Aged Care (MAC) ID

  • Accommodation type

  • DVA card status

  • Household composition

 

3. Migration of Member Services

  • On 24 June 2025, Lookout performed a background migration to update members' approved services lists.

  • Both old and new services will be visible in Lookout until August 2025.

For July and August, Lookout will automatically map old services to new services in DEX reports, based on a provided mapping document.

 

4. Action Steps for Customers

A. DEX Portal

  • Check and confirm your DEX portal’s outlets and services reflect your 2025–2027 funding agreements. You must sign in to the Data Exchange and check that all listed outlets and services reflect your 2025-2027 funding agreements.

  • Update any discrepancies in DEX, but note that changes require at least one day to be approved. Your DEX Organisation Data Chart can be downloaded from the Data Exchange portal.

B. Outlets & Services in Lookout

  • Outlets are required to identify where a service occurred or where staff travelled to deliver it. You will need to verify that your outlets in Lookout are correct. Then, add any newly approved outlets using the DEX outlet activity ID.

  • Be sure to also review any pre-existing CHSP services under each outlet to ensure these services match your current agreements.

Please note, an access role with 'Data Management' permissions is required to set up and edit outlets.

Navigate to Settings by clicking the three dots next to your name in the navigation bar, and then select CHSP outlets and services under the Templates & configuration heading.

 

To add a new outlet, click the blue New outlet button in the right-hand corner. To edit a pre-existing outlet, click the three dots to its right side, then the edit option.

C. Client/Member Services

  • Review each member’s approved services in Lookout, and update or remove any incorrectly mapped services.

  • Pay special attention to services like nursing, which may have been split into multiple service lines.

Use the filter options from recurring rules to show only CHSP membership plans.

 

Click the three dots by each result to edit or update.

 

You can edit all or some results using the bulk selection tool. When you have selected your results, a pop-up window will appear. Click the Edit button and then select the CHSP outlet option.

 

A side window will appear, giving you the ability to re-map all of the selected services to the correct outlet.

 

D. Visits, Invoices, and Purchase Orders

From 1 July, all new visits, schedules, group visits, invoices, and POs must use the new CHSP services. Use bulk tooling to update:

  • Visit outlets

  • Schedule rules

  • Group visits

  • Adhoc invoices

  • Purchase orders

For services that are not auto-mapped, manually update or use the bulk tool to make corrections.

Please note: at the end of July, Lookout will perform a migration to ensure all visit rates and schedule rules reflect the new CHSP service structure.

5. Reporting and Exports

  • DEX Session Export: Will use new CHSP services from 1 July.

  • DEX Report: For the July claim (due 14 August), a single DEX report will be used instead of subprogram splits.

Other Data Exports: May reflect both old and new services until your data is fully updated.

 

6. Deprecation Timeline

  • Lookout will deprecate all old CHSP services by the end of August 2025.

  • Mapping code used for auto-conversion in DEX reports will be removed in late September.

  • Historical data for services delivered before 1 July 2025 will be preserved in legacy exports.
